Activate the account and recover the password
The member activates their account with the link in the welcome email and can recover their password from the login screen, with a link sent to them by email. If they can’t, you can resend the link or set a password for them from their profile.
Activate the account (what the member does)
Section titled “Activate the account (what the member does)”When you create a member, RoninBox sends them a welcome email with the “Activate my account” button. How to create one is covered in How to create a member.
-
The member opens the link in the email. They see a screen to complete their user details.
-
They choose a username, type a password and repeat it.
-
They tap Confirm. The account is activated and the member goes straight into the app.
A few things worth knowing:
- The link works for one person and only once. If they open it again with the account already active, they see the notice "Your account is already active. Log in with your username and password." and are taken to the login screen.
- If the link is no longer valid, they see "This activation link is no longer valid: you may have already used it or it may have expired. Ask your gym for a new one.".
- Until they activate the account, their status in your list is Inactivo. This is explained in Member statuses.
Recover the password (what the member does)
Section titled “Recover the password (what the member does)”-
On the login screen, the member taps Forgot your password?.
-
They type their email and tap Send instructions.
-
They open the email they receive and tap the link. They see the "Choose a new password" screen.
-
They type the new password twice, with at least 8 characters, and tap Save. They can now log in with it.
For security, the response is always the same, whether or not that email has an account: "If that email is registered, we've sent you an email with instructions to recover your password. If you don't see it in a few minutes, check your spam folder or ask your gym to check your email.". The link lasts 24 hours and can only be used once. With an expired link they land on the login screen with the notice "This link has expired. You can log in with your password or request a new link." and a "Send me a new link" button that sends them a new link in one click; they can also log in with their password.
Using this link also activates an account that was never activated.
The recovery email goes only to the member. The gym’s inbox doesn’t get a copy: the link opens their account, and that account works at every gym where they train.
If they request it from the app and have an account at several gyms, the email is sent on behalf of the gym whose link they used to open the app; otherwise, the gym they have set as default, and if they have none, the first one by name. The new password works for all of them.
What you can do if the member can’t log in
Section titled “What you can do if the member can’t log in”Everything is done from the member’s profile, in Members ▸ Members. Only a gym admin can resend the link and set the password; coaches can also send the welcome email.
| Situation | What to do |
|---|---|
| The welcome email didn’t arrive or got lost | Tap Reset password. They get a new link. The previous link stops working. |
| You want them to get the gym welcome | Tap Send welcome. They get the welcome email with a 7-day link to choose their password. Admins and coaches can do this. |
| They forgot their password | Have them use "Forgot your password?" or tap Reset password yourself. |
| The email is misspelled | Fix it with Edit profile and resend the link. |
| The email doesn’t arrive or the member has no real email | Tap Set password and tell them the password. |
| You tap Reset password and it warns you they have no real email | Add their email to the profile and send it again, or tap Set password. |
| You want to check what’s been sent to them | Open the Emails tab: it shows the emails from the last 30 days. |
With Set password you type a password of at least 8 characters, with a letter, a number and a symbol, or generate one. RoninBox shows it to you once. If the account wasn’t activated, it becomes active. If the member has a real email, they get a notice that their password was changed, without the password in it.
Common mistakes
Section titled “Common mistakes”- I resend the link and the member uses the one from the first email. The first one no longer works. Ask them to use the latest email they received.
- The link says it’s no longer valid. It expired or was already used. Resend it.
- Nothing ever reaches them. Check that their email is real: if it isn’t, no notices are sent to them. Use Set password.
