How to give a trial class in RoninBox

A trial class in RoninBox is a free class you give to a member who doesn’t have a plan yet, so they can get to know the gym. You give it from their profile and the calendar; they receive an email with the details, and later you can see how many trials end in a plan.

Any staff member at the gym: coaches and administrators. It’s only offered to members without a plan. If the person isn’t a member yet, any staff member can sign them up with just their email and name, and the location if there are several: Create a member. The plan is what the member is charged; if they already have one, sign them up for the class as usual (see Sign a member up for a class).

  1. Open the member’s profile from Members ▸ Members.

  2. Tap Trial class. The button only appears if the member has no plan. The calendar opens as that member sees it.

  3. Tap the class you want them to attend.

  4. In the class window, tap the secondary button Trial class.

It isn’t offered for a closed class or one that has already started. RoninBox doesn’t check capacity: you decide whether there’s room for one more.

  • A free (€0) one-class extension, called “Clase de prueba – ” followed by the activity, marked as a trial.
  • It goes inside the member’s monthly fee. If they don’t have one, RoninBox creates a €0 one with the usual duration.
  • In their profile, the Extensions tab shows it with the Trial label.
  • In the class’s sign-up list, the member appears with the Trial label.
  • An email with the class’s day, time, activity, location and coaches, and the View my class button. The email tells them that if they can’t come, they should let the gym know.
  • In Home, when they open the app, a Your trial class card with their class. Below it, the next step is suggested:
    • if your gym sells plans from “My plan” (subscriptions with online payment), the Choose my plan button;
    • if not, but your gym has online payments, the Go to Billing button;
    • if neither, no button: "Your gym will tell you how to continue after the class.".

In their trial class, the member doesn’t have the Cancel button. Instead they see the notice "Trial class: only the gym can change or cancel it.". If they can’t come, they need to let you know.

  1. Open the class in the calendar.

  2. In the sign-up list, tap the trash can Remove from class next to the member.

When you remove them, RoninBox also deletes the trial extension: the member isn’t left with a free class. To move them to another class, remove them and give them a new trial in the other class. There’s no limit on trial classes per member.

In Members ▸ Members, the Status filter has the On trial option. It shows members who have done at least one trial class, don’t have a plan and aren’t disabled. Those rows have the On trial label. That way you can see who to call so they stay. More about statuses in Member statuses.

The Trial classes screen tells you how many trials end in a plan. Open it from the link in the User list header or from Members ▸ Trial classes in the side menu. All staff can see it, including coaches.

At the top you choose the period: the last 30, 90 or 365 days. It counts classes from that date, including those that haven’t happened yet. If your gym has two or more visible locations, there’s also a tab for each location and one for all of them.

The screen shows:

  • Trials: how many trials there are, and how many are upcoming and how many are deciding.
  • Converted: how many ended in a plan.
  • Conversion: the conversion percentage.
  • Days to convert: the average number of days between the class and the plan (zero if they got it before the class).
  • Tables by Given by, Activity and Location (the location one only with several locations, in the all-locations tab), with trials, converted, lost and conversion.
  • The list of trials: member, class and date, location, who gave it and status.

A trial converts if the member gets a plan between the moment you gave it to them and 30 days after the class. Any plan counts: one you assign, one you add to a monthly fee or one they buy themselves from “My plan”.

  • Upcoming: the class hasn’t happened yet.
  • Converted: they got a plan within the time window.
  • Deciding: the class has passed and 30 days haven’t gone by yet.
  • Lost: 30 days passed without a plan.

The conversion rate is converted divided by converted plus lost. Upcoming and deciding trials don’t count, because they can still convert: if they did, the rate would drop every time you gave a new trial.

  • The button doesn’t appear in the profile. The member already has a plan: sign them up for the class the usual way.
  • The button doesn’t appear in the class. The class is closed or has already started.
  • The member says they can’t cancel. That’s expected: remove them yourself from the sign-up list.
