RoninBox glossary: the terms used in your gym
This glossary collects RoninBox terms as the app uses them, with the name you’ll see on screen and what it means. They’re in alphabetical order, and each entry links to the guide where it’s explained in depth.
QR access
Section titled “QR access”Optional feature for entering and leaving the gym by showing a QR code on your phone. The code is valid for 3 minutes and a single use, and access is only granted if the member’s payments are up to date and they have a class booked today (except on unlimited rates). In the admin menu it’s QR access; in the member’s bar it’s Access. See QR code access.
Activity
Section titled “Activity”A discipline you offer at the gym, such as CrossFit or Pilates. It only has a name. Plans say which activities they cover, and each class on the schedule belongs to an activity. See Activities.
Weekly booking opening
Section titled “Weekly booking opening”Optional rule that decides when members can book the following week’s classes: a day and time in the previous week. The current week is always open, and admins and coaches aren’t subject to it. It’s in Booking rules. See Booking rules.
Class pass
Section titled “Class pass”A number of individual classes with an expiration date, bought separately from the rate. In the plans menu it appears as the Class passes tab. You add it to a member from their profile, and its price is added to the current monthly fee. See A member’s class passes and Create a plan.
Your gym inside RoninBox. Each box has its own members, classes and payments, and can’t see other boxes’ data. The same person can belong to more than one box with the same account and chooses which one to enter. See What is RoninBox.
Event configurator
Section titled “Event configurator”The screen where you define the gym’s weekly schedule with rules: which activity, which days, at what time and with how many spots. The calendar offers those classes week after week. It’s called Event configurator and opens from Classes ▸ Schedule. See Schedule configurator.
Event / class
Section titled “Event / class”A specific class with its date, capacity, activity and sign-up list. In the admin menus it’s called an “event”, and for members it’s a class. Classes generated from the schedule are actually saved the first time someone opens one or signs up. See Admin calendar and Create a one-off class.
Extension
Section titled “Extension”A single line within a member’s monthly fee: extra classes of an activity in exchange for an amount, which can be zero. There’s also a “Pack Extensions” catalog that serves as a template for packs. See Extensions.
Holiday
Section titled “Holiday”A date range when the schedule offers no classes, applied to the whole gym. The end date isn’t included in the holiday, and it doesn’t delete classes that were already saved. It’s in Holidays, inside the configurator. See Holidays and days without classes.
Monthly fee
Section titled “Monthly fee”A member’s billing period. It brings together their rate, their extensions and the payments received, with a start and end date, and it’s marked as pending while money is owed. It determines the classes the member can book. RoninBox generates them only for members with a rate. See Monthly fees.
My subscription
Section titled “My subscription”What your gym pays RoninBox to use the software: plan status, included and extra locations, and renewal date. It’s not what your members pay. It’s in My subscription. See My subscription.
Movement
Section titled “Movement”An exercise in the gym’s catalog, such as the squat or pull-ups. RMs are recorded against a movement. Staff manage them in Movements. See RMs and movements.
A fixed price for a number of months of a rate. You charge it from “Charge”, on the member’s pending monthly fee; if it belongs to another rate, it changes their rate. The remaining months are created automatically once it’s paid. See Charge several months or an offer.
A bundle of catalog extensions and class passes added all at once to a member’s monthly fee. It has no price of its own: its extensions set it. See Packs.
Payment
Section titled “Payment”Money recorded against a member’s monthly fee, with its payment method: cash, card terminal (the gym’s card reader) or Stripe. When the pending amount reaches zero, the monthly fee is marked as paid. See Charge in cash or by card terminal and Online payments.
Generic payments
Section titled “Generic payments”Gym income that doesn’t belong to any monthly fee, such as a T-shirt or a sign-up fee. They only have a description and an amount, and they count toward the month’s revenue. They’re in General payments. See Generic payments.
Late cancellation penalty
Section titled “Late cancellation penalty”What it costs to cancel your own booking depending on how far in advance you do it, set by the gym’s cancellation tiers. Each tier can delay that member’s next weekly opening, make them lose the class credit, or not let them cancel. The class details tell them beforehand what it will cost and from what time; canceling takes a single tap. See Booking rules.
The template for what the member can do: which activities it covers and how many classes it includes. There are three types: monthly (per week or per month), unlimited and class pass. It has no price. See Create a plan.
Prefix
Section titled “Prefix”A colored tag with short text, such as “OPEN”, shown before a class name to distinguish session types within the same activity. It’s in Prefixes. See Class prefixes.
A member’s personal record in a movement: the heaviest weight, the reps or the time. Members save their own and see the gym’s leaderboard with other people’s usernames. See RMs and movements.
Superuser
Section titled “Superuser”A member with no limits: they can book any class without a monthly fee or credits. It’s used for in-house people who don’t pay. See Roles and permissions and Member statuses.
What a member is charged: a price plus one or more plans, and, if you want, a maximum number of classes with pending payment and a location restriction. The menu still calls it Subscriptions, but it’s the same thing. The price of a rate can’t be edited once it’s created. See Create a rate.
Chained rate
Section titled “Chained rate”The way to change a price without updating members one by one: you create a new rate and choose which one it replaces in the “Previous Subscription” field. Each member moves to the new one the next time a monthly fee is generated for them. See Chained rates.
Monthly fee type
Section titled “Monthly fee type”A gym-wide option that decides how periods are counted. The names are misleading:
- Monthly is the calendar month: from the 1st to the last day of the month, the same for all members.
- Calendar month is a period specific to each member: it starts on the day the member starts and ends 28 days later. It doesn’t follow the calendar.
See Monthly fee type.
Location
Section titled “Location”Each site of a gym with more than one, with its address, color and description. In menus and forms it’s called a “location”; in some notices and coach screens, a “site”. Multi-location features only appear with two or more visible locations. See Locations.
The workout of the day. There are three types: WOD (E.D.D list), The Girls and Hero. WOD-type WODs aren’t visible until they’re published. Members log their result below it. See Create a WOD.
